ATTACHMENTS: Sample Brochure for a Touchscreen APPROVED BY: Presentation Board for Conference Room RECOMMENDED ACTION: Discuss and give staff direction on pursuing possible audio- visual improvements for the City Hall conference room and /or Council Chambers BACKGROUND The current City Hall conference room has limited audio /visual presentation capabilities. Presentations are currently made by using a ceiling mounted projector which projects an image on a drop down screen. Some of the issues and limitations of the current set -up include: • The projector needs many minutes to warm up. Recently, our project engineer completed most of his report on street improvements before the projector began operating. • There are many wires and cables stretching across the floor on the east end of the room • Ceiling speakers are in place, but there is no way to control the speakers in the west end of the room if the room is divided for multiple use. • The current projector system must use a laptop to connect to the City network. • The projection does not readily allow layers of information to be presented and is not interactive in any way. • The current system does not easily lend itself to webinars and other training opportunities. • Laptops and ipads cannot directly connect to the current system wirelessly. • The resolution of the current projection system is marginal by today's standards. The City Council Chambers also is very dated in its audio /visual capabilities, with relatively small, low resolution tube TV's providing information to the public. In addition, the screens at the Council dais are very small and low resolution. Complaints have been received about the inability to hear from the back of the room, particularly when large groups are in the room. Our Cable TV staff has indicated that the cable TV control room will also need to be completely replaced within the next several years. The 2012 CIP identified $100,000 from the Equipment CIP fund for future audio /visual /cable TV improvements /replacement. These conditions have caused staff to begin investigating alternatives for enhanced presentation and training facilities in the both rooms. DISCUSSION A review of the system in the Council Chambers shows that the entire system, including the Cable TV control room, will need to be upgraded at the same time. The current technology is analog and a complete conversion to digital equipment is necessary to bring the Council Chambers up to a modern standard for presentations. We may be 1 -3 years away from a complete overhaul of the Cable TV room, partly because there may be some advantage to doing this work at the time the Charter franchise renewal occurs in 2014. We plan to continue to review temporary, low cost options that might be helpful in the short term. For example, a portable 52" LCD screen on a mobile cart could be added to the room for about $1,700. In the Conference Room, solutions are readily available for most of the issues discussed above. Attached is a brochure for a smart, interactive, high definition touch screen that could be installed. While we are not at the point of recommending any particular brand or vendor, it does demonstrate what is available. A solution such as the system in the brochure could be installed in the Conference Room for about $10,000 to $12,000. If we ever add space to our current City Hall and need to move it to a new location, it would not be difficult to do so. RECOMMENDATION As noted, more research would be needed to recommend any specific upgrades to either room.
