ATTACHMENTS: APPROVED BY: p � RECOMMENDED ACTION: Consider meeting dates and procedures for filling the vacant council seat BACKGROUND On December 7th, the Council considered and approeed a general process for seekin�;applications and filling the council seat vacated by I�urt 13ills. ilpplications were taken on the approved form through 4:30 p.m. on December 30, 2010. A total of 18 applications have been received. 1'�vo inteivie�v dates ha�e been established so far: G:00 p.in. on the evenings of)anuaiy 11th and 12th. With 18 applications, the Council may wish to consider adding an additional interview date and also discuss more details of thc pYOCCSS. ITEMS FOR CONSIDERATION Does the Council wish to establish an addifional interview date? With 18 applications,it may not be reasonable to conduct all of the inteivie�vs in t�vo sessions. Options for a third inteniew session include (1) Thursday e�-ening Januai�� 13th; (2) Saturda�� inorning January 15th; ox Wednesday evening Januar5- 19th. How much time should be scheduled for each interview? Does the Council wish to consider second interviews with a few selected candidates? Given the number of candidates and the number of ultervie�vs, the Council may� �vish to considei having a date foY second interviews with selected canciidates. If so, the initial intereriew sessions may be scheduled each 30 minutes. If not, you ma�� need a litde longer for each inter�Tie�v. If follow-up interviews are p/anned, what date and time shou/d be estab/ished? A second round interview date, if dcsircd, could bc held on Wednesda�- c��cning, Januar�- 19th or could be set for Wednesday evening, January 26 oY the follo�ving week on Wcdnesda�- l�cbruar�• ? or Thursda��, Fcbruar�- 3rd. Interview Questions The Council members should be considering what questions to ask durin� the inten�ie�vs. If the interviews aYC 30 minutes long, you may have time for 2-3 yuestions cach. On the fust inten-ic�v evening,January 11 th, staff is planning to allo�v the Council a fe�v minutes of time at the beginning to organize its questions before the first intervie�v is scheduled. If the Council�vishes to h��-e a rating foYm of some kind, staff should be directed on how to pYepare it. CITY ATTORNEY COMMENTS ON PUBLIC DATA The City Attotney has reminded us that much of the data in the applications foi the Ciry Council position is private. Items that may be public data include veteran status, job histoiti�, education and t�aining, and work availability. We have made the names available since the Council pre�-iousl�� agreed to inter��ie�v all candidates. 2
