Staff would like to begin working with CIT and the City Attorney to develop the appropriate contract(s) to bring forth to the City Council to approve at a future meeting. 4 ROSEMOUNT CITY COUNCIL City Council Work Session: June 10, 2009 EXECUTIVE SUMMARY ISSUE The issue before the City Council is the discussion of replacing the City's phone system. The City has an opportunity to save money with a new system as well as improve phone features and integrate phone and data functions. BACKGROUND The City's phone system is a Centrex based system that we have with Frontier Communications, our long- time phone provider. They are in the process of phasing out this system. Currently our contract for this system has expired and we have continued the service on a month -to -month basis. We are paying approximately $5,000 a month for our total phone service with Frontier and would continue to if we chose to enter into a contract to keep this service. Jayson Solberg, our IT Coordinator, has been working on soliciting quotes to replace our current system with a Voice Over Internet Protocol (VOIP or Voice Over IP for short) system. He did extensive research and had all four vendors that gave us quotes out to demonstrate the actual phones that City staff would be using with the new systems. All received excellent reviews from the staff that participated in the demonstrations. Jayson has put together a slide show that he will go through with you this evening explaining why he is recommending Computer Integration Technology (CIT) and also to show you how we can save substantially in the next five years regardless of what vendor would be chosen. Frontier Communications is one of the companies that we received a quote from. We also received a quote from Dakota County. They approached Jayson with the possibility of adding the City onto their phone system. Because it is a new approach for them their quote was higher than the others because they do not have any past experience to draw from on how it would actually work. When meeting with the Dakota County officials they did seem very interested in the idea and have actually been approached by Scott County about the prospect of adding them onto Dakota County's system.
