Kalstabakken, Chief of Police AGEND AV 6 N J ATTACHMENTS: NONE APPROVED BY: When the City Hall remodeling project was completed in 2001, the existing heating/cooling units were not replaced as part of the project. Those two units were installed when City Hall was originally built in 1987 and are nearing the end of their expected life. Maintenance issues are becoming a concern on the existing units and since moving back into the remodeled facility there have been HVAC issues that appear to be related to the capacity, or size, of the existing units. Increased area in City Hall was added to the existing HVAC system without increasing the capacity of the existing units. The combination of the HVAC units' age and lack of performance in the remodeled facility are reasons for staff to recommend that the two units be replaced. Quotes have been obtained from two (2) contractors to replace the units. Allan Mechanical submitted the lowest quote for the recommended work. The project will consist of replacing the two 15 -ton units with two 18 -ton units. The quote submitted by Allan Mechanical for the project is $26,600. They estimate that the work can be completed approximately two weeks after the units are ordered. The work will be completed during the month of May to minimize the chance of the work being completed during extreme heat or cold temperatures, which would adversely impact working conditions at City Hall. In addition to the HVAC contractor work, there will be electrical work associated with the replacement of the units to disconnect the old units and connect the new units. Quotes are being solicited for the electrical work; however, the final cost of the electrical work will be dependent upon the final placement of the units and location of the electrical hook -up. This cost is expected to be less than $5000. The electrical work will be awarded following the standard procedures for projects of this type. There are funds remaining in the building remodel/expansion account to cover this project. A contingency amount was included in the account to cover the expense of unforeseen expenses of the remodeling and expansion project. The upgrading of the aged HVAC system is one type of expense anticipated to be taken from the "contingencies" line item. RECOMMENDED ACTION: Motion to authorize the replacement of the HVAC units at a cost based on the quotes received from Allan Mechanical. COUNCIL ACTION:
