This item is before Council to consider the approval of upgrading our
current word processing software package to the newest version available.
We are currently using WordPerfect, Versian 5 . 0 . Their is a Version 5 . 1
out, that has been available for some time, that we do not utilize on our
network. WordPerfect' s newest release, Version 6 . 0, became available at
the end of June. Because of the heairy word processing use that staff has,
we feel that it is appropriate that we make the upgrade to Version & . 0 .
There are a number of benefits to make this change now. The first is
timing. Because of the work being done on our network, the upgrade can be
incorporated into the work being done, making the �ransition easier and the
need for another job done later(at additional costs) nonexistent. If we do
the upgrade now, it will be part of the job being performed. Yf we do it
later, we wi11 pay for installation charges. The second benefit of making
the upgrade is profieiency. As staff has become more proficient using
WordPerfect, the things that can be done by staff has increased
dramatically. A good example of this is the Comp Guide Plan. Most of the
work done on the Plan was done in-house by staff. Unfortunately,
WordPerfect, Version 5 . 0, does not contain all the features necessary to
handle the work that was done on the Plan. A package of Version 5 .l was
purchased to eomplete the task, With Version 6'. 0, additional features,
especially in the area of desk�op publishing, have been added making it
potentially an invaluable tool for staff to complete the work required of
t hem. `'4
I am proposing to pay for this upgrade with funds that will not be used for
my Deputy Registrar CZerk. I budgeted funds for all of 1993 and the
pasition was not filled until June. I have estimated there to be
approximately $5, 300 available and the cost to purchase a 20 license
package of WordPerfect, Version 6 .0, is $3,425 . I would like authorization
to utilize $4, 000 of the $5, 300 an.d to purchase as many licenses as those
funds will allow. This will give us the most up-to-date version of
WordPerfect available and enhance the productivity of staff.
RECOMMENDED ACTION:
Motion to approve expenditures, not exceeding $4, 000 from the Finance
Department budget to upgrade the current word processing software
package to the new release, WordPerfect Version 6 . 0 .
