Attached find a proposed draft of the card to be used. This is a "paste up" of what we would suggest to use and staff will have the cards printed after your approval . _/,___'_-----_..._.._---- _.�.,.., The cost for printing of the cards will be about $220. 0 ._�per thousan� as we have laid them out. This is without a postage sta�iip which we��� propose not putting on the card. ' ���. I would propose that we would print OOO cards a.� a time and expect that to be a one year supply. We will have a ���i�ea on usage after six months. I would recommend that the funding for this com� from the "newsletter/newspaper" account because this is a communication expenditure and, after you decided to approve the use of the ThisWeek newspaper on March 2, there are funds available. The use of the card, how it will be distributed and how the information that we receive from the use of the card is presented in the attached memo. This is proposed to be a fundamental source of feedback from those people that use our services. This information will be collected, compi�ed and processed to insure that follow up is completed. RECOM'MENDED ACTION: Motion to approve the establishment af the Rosemount Community Card, the process �o utilize it and the funding as outlined in the Ci�y Administrator' s memo of April 1, 1993 . This card will be used to allow those residents, contractors, businesses, etc. that have the opportunity to have used services pravided by the City to comment back to us as to the adequacy of that service and ma.ke recommendations for improvement. The information that we get back through this process wi,ll be reviewed and considered to improve our services. The following process will be used: Availability - Cards will be available through several soureesc - At the service counters at City Hall - At the information shelves at City Hall - Distributed, by mail, to those addresses where fire service is provided. This will be done by mailing to every fourth call address . - Distributed, by mail, to every tenth addressee of those persons receiving police service. - Provided to every tenth person taking out a building permit. - At the service counter of the new offices of Parks and Recreation in the Armory/Community Center building. - To customers at the new banquet hall . Data Collection - All cards wil-1 be dropped off at City Hall, at the utility payment drop off boxes or mailed back to City Hal1. - When the cards come in, the comments will be compiled by department and then by type of comment so that immediate response can be given if needed. - On a weekly basis the compiled report will be given to the City Administrator for review and to insure follow up. - On a monthly basis the compiled report will be given to the City Administrator for review and to insure follow up. - On a monthly basis the compiled report will be given to the City Council and other Commissions for their information. At this time the report will be available to the public if they wish to see it. At budget time we will review the success of this process and determine the feasibility of its cantinued use.
