Also outlined in the memo are the costs for Licenses, taxes and the equipment needed to be added to specific vehicles by the Citys'.. mechanics. Money has been budgeted in the 1991 C.I.P. account to cover these expenditures. RECOMMENDED ACTION: MOTION TO ACCEPT THE BIDS AND AWARD THE BID FOR.3 PICKUPS AND ONE VAN TO SUPERIOR FORD IN THE TOTAL AMOUNT OF $61,941 AND TO AUTHORIZE STAFF TO PURCHASE AND INSTALL MISCELLANEOUS EQUIPMENT ON THESE VEHICLES COUNCIL ACTIONt 2 0 . M E M O TO: MAYOR NAPPER COUNCIL MEMBERS: KLASSEN OXBOROUGH WILLCOX WIPPERMANN CITY ADMINISTRATOR JILR FROM: RON WASMUND, PUBLIC WORKS DIRECTOR DATE: APRIL 11, 1991 RE: VEHICLE BIDS At the February 19th regular Council meeting, Staff was authorized to advertise and obtain bids for; 2 pickups for the Fire Department, 1 pickup for the Public Works Department and 1 Sports Van for the Parks & Recreation Department. These bids were received and opened on March 5, 1991 at 11:00 a.m. Only one bidder, Valley Ford of Apple Valley submitted a bid. Staff did not feel that bid to be competitive and sought approval to reject that one bid and obtain new ones. Authorization was obtained from Council on March 19th and new bids were obtained. Specifications were mailed or delivered to eight (8) dealers in and around Dakota County. Bids were received and opened on April 9, 1991 from three (3) bidders. The attached bid tabulation sheet lists all bid packet holders and the results of the three bids received. These vehicles were grouped as a package to encourage more and better bids. Staff feels we did get competitive bids. The distribution of the vehicles bid is as follows: 1/2 Ton Pickup - Public Works Maintenance Commercial Sport Van - Parks & Recreation 1 Ton 4x4 Pickup - Fire Department 1/2 Ton 4x4 w/Extended Cab - Fire Department There are four vehicles that are being traded in from the Parks, Public Works and Police Departments. The traded vehicles include two (2) pickups and two (2) cars as listed: 1970 Chevrolet 1/2 ton Pickup - 106,413 miles 1979 Dodge 1/2 ton Pickup - 62,536 miles 1983 Ford LTD (Former Squad) - 124,012 miles 1988 Chevrolet (Former -Squad) - 98,264 miles All trades have exceeded their economic viability. The total amount of the low bid is $61,941.00 from Superior Ford. They have indicated that they will make delivery of the vehicles within 150 work days of the award date. We would not make payment to the.dealer until we take delivery of all the purchased units. In addition to the purchase price we also have tax, license and minor equipment, which needs to be installed by Staff mechanics. By vehicles the breakdown is as follows. Money has been budgeted in the 1991 C.I.P. in the amount of $69,300 for these four vehicles. Staffs recommendation is to proceed with the purchase of these specific vehicles and miscellaneous equipment for them.
