Subject: On Going Computer Maintenance
Over the years we haye budgeted in my area a considerable amount each year
for �amputer Maintenance. With the old system it was imperative and cost
eff���iye to have inplace, an on-site Computer Maintenance Contract due to
th� V�ry ��mplex and somewhat fragile equipment involved. I have again for
19�0 by�g���� a like amount and con�ldered purchasing a similar contract
� f�i" t�� �I����C`� system. � � � � � � ��
�t�� �q th� major differ�rlCes in the two sy�tems I find that a mainten�nce
���►�r�act fp� a sys��m �uch a� ours is �n impossible venture in that the
cast of st�ch a contra�t far e�ceeds qur historical maintenance figures for
the �xisting older PC equipment. Alsa, all of the new systems have five
year warranties on them and we do not need con�r�cts for them for some time
now.
With the history we h�ve on r�p�ir �pst to the PC's we have had over the
ysars, we find that very little cost _is gen��'ated in repair for these
units� Instead of �ur�hasing a M�aintenance Contr�c� I am recommending that
W� $���^� the repl�ce�ten� pro�ram with those fund� �his year instead of
�t�lti�l� �ntil nex� year as we had �iscussed at budget i:ime last y�ar, This
w+��l� b� � gQlden oppprtunity to start the upgr�de of some �af the locations
and to �dd sy�tems to those new job locations, placing some of the older
yn7t� lntp the lighter� duty positions that We have defined within the
Y��'io4�� offic��.

equipment sn we can rationally determine just what we can afford at this
time in the line af maintenance and upgrade. Having this information in
hand I would suggest that we consider purchase of the following:
Two VGA ATs as Spec'd on the attaehed = $1,744 $3�488
One Full Page EGA Monitor Upgrade = $ 475 $ 475
Two Panasonic #1624 = $ 325 $ 65Q

NaVing started the year with $12,600 in the budget, I have spent $1,652.50
on major items for the Network that I now have on tire shelf in case of a
major failure. I have one Token Ring that is the most costly item in the
systsm on hand now so if we should need one of them we would not have that
expense again. With these factors in place I would recommend that we
expend the $4,613.00 listed above, further reducing the PC Maintenance
amount in my budget to $6,334.00. I feel confident that this is way more

As you review the RFP attached you will note that upgrading the o1d XT's
that we have to VGA Color is not cost effective, in that upgrading of three
of the old units would require spending the equivalent of one new AT. Not
recommehding we do that. Also, I find that Panasonic has a printer capable
of daing what we need done at the locatians we are proposing to place these
p�inter upgrades in, at a very reasonable cost.
