C7J�/r[ f /i ROSEMOUNT, MINNESOTA 55068 612-423-4411 TO: Mayor Knutson Councilmembers: Napper Tucker Walsh Willard FROM: Stephan Jilk RE: New City Hall Review Gentlemen: Following is a summary of issues relating to your new city hall which I thought would be good for you to refer to as an update: (1) We will be moving on January 10th. The mover selected is Bester Bros. of South St. Paul. They have been in business in the areas for some 20 years. Their price was much better than the $4,100 you approved. It came in at just under $1,850. City staff will be packing and unpacking. Some city staff will be working that Saturday just to help locate furniture and make any on the spot decisions necessary. (2) Cleaning -- You have a report on the three cleaners from which I received quotes. I did review a fourth quote from John Hawkins of Rosemount. John does monthly service at our existing city hall. John's quote was $1,800/month. I felt it was good we received this quote and felt even better about recommending Fidelity Services. (3) Furnishings -- To date I've ordered $11,106 worth of furniture. The estimated cost for additional to furnish all areas is about $13,000. This does not include equipment for the workout room. I don't have any numbers on that yet. Parks & Rec and the Police Department are working on a plan for the workout room, and we'll have a recommendation for you to consider the first meeting in February. .Once we move in, there will be miscellaneous items to purchase which we can't foresee at this time. I have contacted John Lock, and he has agreed to head up a committee to put together a display for the wall dedicated to "Historical Rosemount". We're having an article put in the paper asking for help and pictures for the display. New City Hall Review Page 2 December 31, 1986 FU 198? 0 1 I've also talked to Niki Kimberly, representing the local arts group. She is suppose to put together some ideas on displays of local art work at the new building. She will get this to us sometime in January. (4) Construction -- The original bond issue for the building was: $1,300,000. Bond Discount (30,094) Contract Amount (988,700) Change Orders to Date (52,000) Approx. to $100. Architect Fees (63,276) Fiscal Costs (11,417) Furnishings to Date (11,106) Balance Available (12/31/86) $ 143,407 Estimate Add'1 Furnishings (13,000) $ 130,407 This amount will be available for remaining change orders, additional furnishings and computer equipment which may be part of getting totally established at the new facility. I thought you would like to get a picture of the financial end of the project as we continually come back to you for approval on purchases and change orders. (5) Open House -- I would expect we should consider an open house at the new facility for sometime in late February or early March. Please start thinking about ideas and suggestions for this. Staff will do the same, and we'll present to you some ideas in a month. If there are any questions on any of this or anything to do with the new building, please contact me.
