Port Authority Sponsored Events EXECUTIVE SUMMARY Port Authority Meeting Date: January 15, 2019 AGENDA ITEM: Port Authority Sponsored Events AGENDA SECTION: Old Business PREPARED BY: Kim Lindquist, Deputy Director AGENDA NO. 5.b. ATTACHMENTS: Business Appreciation Lunch Invite, Expo Booth Reservations APPROVED BY: LJM RECOMMENDED ACTION: Information Item ISSUE There are two upcoming events sponsored by the Port Authority; the Business Appreciation Lunch and the 2019 Home and Business Expo. The luncheon will be held on Thursday, February 7 at the Community Center Banquet Hall. Save the date cards were mailed late last year with the invitations mailed early this week. The speaker will be David Newman, advisor to Newland Communities. He will provide information about the new Vermillion Crossing project, similar to the presentation the Council received at the work session and provided at the Planning Commission meeting. The Mayor will also provide an update to what’s going on in Rosemount; as a precursor to the State of the City. As always we try very hard to keep the lunch and program to one hour so that we don’t take too much time out of the employees and employers work day. The other event coming up is the 2019 Rosemount Home and Business Expo, to be held on March 16, 2019. The invitations went out months ago to all city businesses and participants in the 2018 Expo. We are now re-contacting prior participants and working to attract new ones. Presently there are 34 of the 49 booths reserved. There are 4 booths that are allocated to the City, the face painting person, and the balloon making person. We have six participants registered as sponsors which is our limit this year. We have discussed having businesses sponsor particular events or activities and will explore that next year. At present there are two food trucks committed to the event, and we are working to attract one more. There are two speakers, one from the Partners in Energy initiative and one from the County about composting and energy saving. There will be two kids’ activities during the speaker times, construction of a birdfeeder and decorating a pot then planting seeds. The kids’ activities were well received last year, and we thought it was strategic to schedule them during the speakers so as to facilitate better attendance at the presentations. 2 One of the main topics of conversation regarding the Expo was the attendance at the event and the marketing of the event. Last year being the first year of the Expo, we focused more on making sure we had a full contingent of businesses. This year staff is also working on additional resident marketing. Here are the activities we will be implementing: • Expo Banner was displayed at Food Truck Festival and will be at Business Appreciation Lunch and Family Fun Fest. The banner advertises the event and the date. • City Newsletter advertised a “save the date” type of article when it went out in November and the Expo will also be highlighted in the upcoming spring newsletter which will go out around February 28, 3 weeks prior to the date. • City website advertising. • There will be several social media avenues used. The city will post on Twitter (830 followers) and Facebook (3200 followers). Similar to other messaging we will post save the date and then a final advertisement which includes the schedule of events for speakers and kids’ activities. An “event” will be posted through Facebook also, and we will again pay for additional “reach” on Facebook. We will utilize Nextdoor this year (we joined only a few days prior to the event last year) and will also post a save the date and later, an itinerary of events. • The City will submit press releases to the local papers closer to the Expo date. • Display a short video advertising the event on cable and website. • Staff was able to secure the large digital billboard along Highway 52 for the month prior to the Expo date as a PSA, which should be great exposure. Attached is the list of businesses who have reserved a booth. If you know of someone who is interested in renting a booth, please let staff know. RECOMMENDATION Information Item.
