ATTACHMENTS: Quote Tabulation Summary Sheets APPROVED BY: LJM RECOMMENDED ACTION: Motion to approve proceeding with the following IT projects: (1) 2020 Server Upgrades (2) Fire Department Vehicle Laptops – CAD/TriTech (3) Rosemount Community Center Security Cameras BACKGROUND IT staff have budgeted 3 projects in the 2020 CIP; the replacement of the City’s three physical servers, the replacement of Fire Department Vehicle Laptops; and the purchase of new security cameras for the Rosemount Community Center. IT staff have received quotes to proceed forward with all three of these projects. The quote tabulation summary sheets are included as part of this agenda item. The City of Rosemount maintains twenty virtual servers to handle the day to day demands of the citizens and employees. These twenty virtual servers are maintained on three physical servers. The three physical servers are at capacity and are no longer under warranty as of December 15th, 2019. The City will also be replacing battery backup systems to maintain power between the line power to generator power. IT staff will be doing the work in house to cut down on costs. There is a total of $55,000 budgeted for the project and the low quote is for $44,153.00 so with the work being done in-house we will experience a savings of approximately $11,000 from our original estimates. The Fire Department vehicle laptops that are being replaced were last replaced in 2016. There are 6 laptops being replaced for the vehicles at this time. $35,000 was budgeted for this project and the low quote is for $25,272.00 so there will be about $10,000 savings from our original estimate. We have received two quotes for the Security Cameral project at the Community Center. There was $20,000 budgeted for this project and the low quote is for $10,877.25. For this project there will be additional costs for the installation ($4,000 via a local company) and for the cameral licenses ($2,230). Even with these additional costs we will still be almost $3,000 below our original estimates. RECOMMENDATION Staff is recommending approval to proceed forward with the 3 2020 IT projects.
