ATTACHMENTS: Memo from IT Coordinator, Quote Tabulation Worksheets APPROVED BY: LJM RECOMMENDED ACTION: Motion to approve moving forward with the purchase of PC Workstations for the Police, Fire and Public Works Departments associated with the attached quotes. BACKGROUND This item is on the agenda to get City Council approval to purchase PC’s last replaced in 2017. There is money in the 2021 Equipment CIP budget for these expenditures. Jayson Solberg, our IT Coordinator, has obtained quotes for these items. Attached is a memo from Jayson Solberg, the IT Coordinator, listing reasons for the need to proceed forward with the replacement of this equipment. Jayson is available to answer any questions you have prior to the meeting and will be present at the meeting as well. Attached are quote sheets. The total of the preferred quote is $89,901.00. This is slightly under the $90,000.00 budgeted. We have purchased 4-year on-site warranties as a continuation of our practice of maintaining a warranty for the PC’s as long as we have them in service to optimize performance and minimize costs. RECOMMENDATION Staff is recommending the Council authorize the purchase of the hardware addressed in the attached quotes for the replacement of PC Workstations. MEMORANDUM To: Jeff May, Finance Director From: Jayson Solberg, IT Coordinator Date: February 18, 2021 Subject: 2021 CIP Replacements for Police/Fire/Public Works Issue The City of Rosemount Police, Fire and Public Works computers are end of life and no longer under warranty. Computer replacements As a City, we have decided to replace the desktop computers every 4 years. Our current desktop computers in Police, Fire and Public Works are 4 years old and out of warranty. Police computers are used more due to rotating shifts and officers sharing computers. I have many IT Support tickets for these computers weekly. Microsoft Teams is critical to run on these computers with COVID and most of the computers don’t have the hardware capable to run video calls. The City has the computers in the CIP budget for 2021 to replace the Police, Fire and Public Works computers.
